Frequency of Meetings:- My suggestion is to have atleast two meetings a month.
Reasons:- One week we will meet and during the meeting, plan the offroading for the next week/weekend. This way we will have two meetings and two day outs every month. If we meet only once a month, in longer run, we will not be able to plan two day outs for each month, which in my opinion should be the minimum activity of 4x4 Engaged. Besides, meeting twice would keep us in contact more frequently than once a month, hence better bonding/cohesion between members. Lastly, if we meet only once a month, and on that particular day some member is busy/out of town, he will miss out for atleast two months, which would become a very long absence.
When to meet:- For self employed persons like myself, with prior information, a meeting can be held on any work day or a weekend, however, those of us who are not self employed, should be given the opportunity to inform/have consensus about their availability. I reckon, confirming an omnibus time for members who are not self employed, if not impossible, would be very difficult. If this is the case, club meetings would have to be scheduled on weekends. Since it is likely that most of us can be busy with personal commitments on the weekend evenings, my suggestion would be to keep the meetings at around 11:00 am. on every other Sunday.
Meeting place:- The purpose of any club's meetings is firstly to enhance the bonding of existing members and secondly to attract/welcome new/potential members.
My experience in this regard is that in longer run, attendance of members would be directly proportionate with the cost of attending a meeting. Today you might not agree because probably all of us can afford to pay for the few current members we have, yet, we must not forget the replies of people who inform that they do not have a 4x4 but love offroading and would like to acquire a 4x4 at the first opportunity. If you read between the lines, these potential members are the ones who currently do not have 200K meaning thereby that if the meetings are held at an expensive restaurant, these potential members/enthusiasts will never be able to acquire a 4x4 and thus would loose out their passion for life. If these enthusiasts do not buy a 4x4, let’s say in a year, they will never be able to, especially once they become burdened with the post marital expenses. Needless to inform that for any club, regularly attracting new members is paramount otherwise, with time, when the existing members become busy or move out of town, 4x4 Engaged will remain having members in single digits.
In view of the above, my first suggestion is to choose the meeting place bearing in mind the cost i.e. meet at some rather low profile restaurant, which is not too busy, has a clean environment and good service.
The second suggestion is to decide a place for meeting by keeping in view the distances, meaning thereby that it should preferably be in the middle for all existing/future members and not to one side of the town. DHA is nice, even reasonably accessible from Gulberg, where I currently reside, but it would be too far for members who live down stream on the canal.
While conveying the above, it does not mean that we always have to meet at one restaurant. To share our achievements in life, one member can always treat other members at other restaurants, like Rao Sb. recently bought a 4M40, hope you understand what I meanB-)
