to me it sounds like a huge gonna-be-gathering ..... what are your intentions? will it be a plain meet-up/show-off/snacks get-to-gather or are we talking about some hifi offroading and mud flapping scene?
If it gonna be a simple one, then its easy to plan ...... gather on a sunday (mostly-suitable) morning ..... gup-shup ..... photography ..... suggestions on wheels/sound systems/performances bla bla bla ....... I highly suggest if senior 4x4rs can guide/inform newbie's about their rides and requirements plus a little practice on crawling mode ascending/desending ...... momentum push/flow etc ...... we can also discuss about places to visit and personal experiences.
We can include snacks/lunch depending on budget/contribution. I would really wish to make it for a good deed by gathering some charity for flooded areas but all this is just a brain storming for the time being.
